Within this Division, the Prevention, Care and Support team (PCU) strengthens and builds global capacity for improved and scaled up HIV prevention responses focusing on newer strategies of vulnerability and risk reduction, identifies gaps and opportunities in care and support in country responses, and advocates for UNAIDS programme alignment and leadership to enhance HIV prevention, care and support. This unit focuses on identification of programmatic priorities and operates within the Secretariat's mandate to support UNAIDS programme-wide coordination and accountability. | Main tasks and Responsibilities of the Position: - Undertake lead responsibility for administrative and secretarial support to the Team Leader, PCU, as well as Senior Prevention Adviser and TB/HIV Adviser. - Draft and prepare correspondence on own initiative and/or with minimal instructions from professional staff - Assist in the preparation of contracts and agreements according to instructions from professional staff; process, dispatch and follow up as required, and ensuring conformity with UNAIDS administrative requirements - Organize official travel arrangements for staff in the team, consultants and temporary advisers, including: obtaining clearances as necessary, preparing costing and travel authorizations, making hotel arrangements, advising on and arranging visas for UNAIDS staff; checking validity of the UNLP and processing renewal as necessary; informing receiving country of staff's arrival date and time - Assist in organizing meetings/workshops, take charge of logistics, and reserve meeting rooms - Assist in maintaining the Team's registry files and maintain working files as appropriate. Take notes at meetings, typing and follow up as required - Use computer software applications such as Word, Excel spreadsheets, PowerPoint. Make use of databases like contract tracking system, travel system and address system.
| | REQUIRED QUALIFICATIONS | Education: Essential: Completion of secondary school education; complemented by secretarial training to diploma level, including training in the use of commonly used office package software | Experience: Essential: Some three to four years' experience in secretarial positions Desirable: Experience in the UN System
| Languages: Essential: Excellent knowledge of English or French with a good working knowledge of the other language Desirable: Knowledge of another UN official language

Further, employment with UNAIDS is subject to successful completion of the WHO test. The test includes tasks on Microsoft Office software (Word, Excel and PowerPoint), as well as other secretarial and office tasks usually required in an office environment at WHO/UNAIDS.
